Data Protection Complaints Procedure

Purpose

Healing Within by Janine is committed to protecting personal data and respecting the privacy rights of individuals. This procedure explains how individuals can raise concerns or complaints about how we process personal data and how those complaints will be handled.

Who Can Make a Complaint

Any individual who believes that we have not handled their personal data correctly may make a complaint.

Examples include concerns about:

• Marketing communications;

• Data security or confidentiality;

• Subject Access Requests;

• Requests for correction or deletion of personal data; or

• Any other matter relating to data protection.

How to Submit a Complaint

Please provide:

• Your name and contact details;

• A description of your complaint;

• Any relevant dates, documents, or correspondence; and

• Details of the outcome you are seeking.

Acknowledgement

We will acknowledge receipt of your complaint within 30 days of receiving it.

Investigation

We will review the complaint and take reasonable and proportionate steps to investigate the issues raised.

This may include:

• Reviewing relevant records;

• Speaking with individuals involved;

• Requesting additional information from you if necessary; and

• Assessing whether our data protection obligations have been met.

We aim to resolve complaints as quickly as possible and without undue delay.

Communication During the Process

If our investigation takes longer than expected, we will keep you informed of progress and any anticipated delays.

Outcome

Once the investigation is complete, we will provide a written response explaining:

• Our findings;

• Any corrective action taken; and

• Any further steps available to you.

Escalation

If you are not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO).
